  • New Features:

    Applications Menu: This new menu will list applications available in your account. To access an application, click Applications and then select a specific application.

    Enhancements

    Interface Refresh: All existing features and functionality remain, but how and where information appears has changed.  The Attendee List now appears on the left with a prominent +Add icon to easily dial-out to participants. Active Talkers are displayed in the center, and Meeting Details and Host Controls can be accessed via the respective icons on the right.

  • New Feature – Download Multiple Files as Zip Folder

    Now it is even easier to save your meeting recording and attendance files with the ability to download multiple files at one time into a Zip folder.  Simply access the Archives section of your account and then, for a chosen meeting, click the All Files option to access a Zip folder with all meeting files downloaded.
     

    New Feature – Entry/Exit Settings

    Entry and Exit tones are now defaulted to On for all Bspoke Meetings.  Additionally, within the Entry/Exit Settings menu in Bspoke, a new user-friendly toggle menu appears for ease of adjusting these options.

  • New Feature – Support icon added to Bspoke account

    For ease of finding technical information, when you log-in to your Bspoke account, there is a new Support icon visible which links out to this Knowledge Base.
     

    Feature Enhancement – Automated Dial-Out

    The Invite by Phone feature has been renamed as “Automated Dial-Out” and is now more prominent in the Bspoke web app, making it easier to use.

    To use Automated Dial-Out:

    1)  Via the Bspoke web app, click Add, Automated Dial-out
    2)  Enter the attendee’s phone number, including area code, and their name
    3)  Click the blue Dial button
    4)  The participant will receive a call and hear the following message: “You have been invited to join an audio conference.  Please press 1 to join the call, or press 2 to decline”
    5)  In Bspoke, a Dial-Outs menu will appear and reflect the status of an invited attendee.  Once connection is successful, the Dial-Outs sub-list can be closed out.

  • New Feature – Archives Menu with Attendance Data and Recordings

    The new Archives menu makes it easy to access attendance data and meeting recordings.  Once logged into your Bspoke account, simply click the Archives icon on the left-side of the screen and see a list, in order of most recent, with the option to download files.  To download a file, click the download icon to obtain a .xlsx file for attendance reports and an .mp3 file for recordings

    NOTE: There is a 30-day retention policy for all meeting data, so be sure to download any required files for safekeeping.  All meeting data is deleted after 30 days.

    New Feature – Entry/Exit Settings

    Entry/Exit Settings for Meetings can now be managed via the Bspoke web app or via touchtone commands.  Entry/exit settings only apply to the current, active Meeting

    • Entry/Exit Tones:  If enabled, plays a tone each time a participant joins/leaves a meeting.  Tones are audible to all participants on the call.

    • Name Announce:  If enabled, participant numbers/names will be announced each time they join/leave.  Name announce is audible to all participants on the call.  If their name is not available, a participant’s telephone number will be recited instead.

    Adjust entry/exit settings via Web:

    1) Log-in to your Bspoke account and start your Meeting
    2) Click the More Options button on the toolbar, then Entry/Exit Settings
    3) Within this menu, click to set Tones on/off or Name Announce on/off

    Adjust entry/exit settings via Phone:

    • *32 Entry/exit tones on/off

    • *34 Name Announce on/off

    Feature Enhancement – Roll Call

    The Host can press *9 on their phone keypad to hear a list of all current participants.  If a participant is not named in Bspoke, their telephone number will be recited instead.

    • New Feature – Session Management Page

    The new Session Management page makes it easy to view and manage active Bspoke sessions and to see device information.  To view the Session Management page, click the Account icon with your initial in the lower left-hand corner of the screen.  Listed beneath Your Sessions will be all active sessions for that account with device information, browser type and log-in time provided.  The Sign out button beside each device allows for quick and easy termination of individual sessions.  The Sign out from all sessions button offers a convenient way for users to log out from all devices simultaneously, enhancing security and ensuring complete termination.
     

    • New Feature – Recordings Page

    Simply log-in to your Bspoke account to see the new Recordings page, making it simple to access and download Meeting recordings.  Recordings will appear listed by date/time. For recorded Meetings, the recording files will be available approximately 5 minutes after the end of the meeting.  If recording was stopped and restarted, this will result in multiple files to download.

    • Feature Enhancement – Handling of Anonymous Phone Numbers in Reports

    Anonymous phone numbers will show in the attendance report as 999-999-9999.  Previously reports were showing this as “anonymous” which impacted the ability to format reporting data.  Examples of anonymous numbers include:

    • Numbers blocked by caller (i.e. a US-based caller using *67 before entering the conference phone number)

    • Numbers blocked as part of phone system configuration.

    • New Feature – Hold Music

    Eliminate any awkward dead air before the conference begins with use of the new Bspoke Hold Music feature.  A Hold Music icon now appears in the Bspoke toolbar and can be used to enable hold music to play to all participants.  Simply toggle the toolbar icon to enable/disable music as needed.

     

    • Enhanced Feature – Dial-outs Menu

    The Dial-outs menu is a useful tool to track the status of participants using Invite by Phone or Call Me to join the conference.  Now this sub-list can be closed completely to restore full view of the Attendee List when the call begins.

     

    • Enhanced Feature – Lock Conference

    An icon for Lock Conference has been added to the Bspoke toolbar, making it easier to both lock the conference and identify when it has been locked.
